1. Who we are

TracksIT PDF is run by Tracks IT Consultancies LLC. We help small businesses create invoices and estimates, get paid online, and work with PDF files. This policy explains what we collect, why, and what you can do about it.

2. What we collect

Your account: name, email, phone (optional), time zone and language.

Your business: name, address, logo, stamp, signature, payment terms, and the items you sell.

Your documents: invoices, estimates, clients you add (names, emails, addresses), job photos you attach, and payment records.

Usage: how many documents and PDF-tool files you use each month, so we can apply your plan.

3. Voice, photos and AI

When you speak an invoice or photograph a bill, the words or the photo are sent to our AI provider (Anthropic) to turn them into invoice lines. The photo is not stored by us. Location and camera details are removed from photos before they leave your device.

4. PDF tools

Image to PDF, Merge, Sign & stamp and Scan run on your device. Word and PowerPoint files are converted on our server. Finished files are kept in Recent files for 24 hours and then deleted automatically. Uploaded originals are deleted right after conversion.

5. Who else handles your data

Stripe processes card and bank payments and your plan. Your clients pay you through your own Stripe account.

Resend sends invoice, receipt and reminder emails. Supabase stores the app data. Google Cloud runs the Word and PowerPoint converter. Anthropic reads voice and bill photos. Each only receives what it needs for its job.

Sentry receives error reports so we can fix problems, and PostHog counts a few steps (signed up, finished setup, sent an invoice, got paid, chose a plan) so we can see where people get stuck. Both only see a random account id: never your name, email, clients, amounts or invoice text, and we do not record your screen. Google Fonts supplies the letters for Chinese, Hindi and Urdu text in PDFs.

We do not sell your data and we do not use your invoices or clients for advertising.

6. Your clients

Clients who open your invoice link see that invoice only. We record when an invoice is opened (date and type of device) so you know it was seen. We do not record their location.

7. Keeping and deleting data

Your data stays while your account is open. You can delete your account at any time in Settings › Data & privacy: we delete your account, your documents, your clients and every stored file, and we stop your plan. Payment records that Stripe must keep by law stay with Stripe.

8. Security

Data is encrypted in transit. Each business can only read its own data; this is enforced in the database, not only in the app. Secret keys never leave our servers.
